Salary: $ 70,989 – $ 74,042 /Yr

Job Description:
Credit Valley Family Health Team (CVFHT) is an Academic Family Health Team affiliated with Trillium Health Partners and the University of Toronto. It is an engaging inter-professional primary care team dedicated to continuous learning and excellence within primary care with a demonstrated track record of impactful quality improvement activities. It is a not for profit organization that receives funding from the Ministry of Health and Long Term Care and provides primary health care services to over 12,000 patients in Mississauga. The CVFHT also has a mandate to provide French language primary care services to the Francophone community.
Reporting to the Executive Director, the incumbent will be responsible to perform various HR and Administrative functions within the CVFHT.
HR Responsibilities (60%):
- Administer progressive disciplinary action in accordance with established procedures
- Approve vacation requests and monitor vacation schedules to ensure appropriate coverage
- Determine areas of improvement for employees, providing additional training as needed
- Determine staffing requirements and oversee the hiring of staff
- Develop employee training, ensuring that all applicable compliance requirements are met
- Develop strategic performance metrics and targets that are consistent with company goals
- Develop training programs that are based on regulatory requirements and best practices
- Ensure employees have clear goals and are aware of expectations
- Ensure that all employees comply with company policies, procedures, and ethical standards
- Ensure that employees adhere to all health and safety regulations
- Evaluate employee performance and provide feedback, coaching, and formal evaluations
- Handle employee complaints and incidents, including conflict resolution, accidents, health and safety concerns, work refusals, and investigations
- Identify current and prospective staffing requirements, prepare and post notices and advertisements, and collect and screen applications
- Monitor assigned payroll activities and/or program components for the purpose of ensuring effective department functioning, coordinating activities and ensuring compliance with established financial, legal and/or administrative requirements
- Oversee personnel management, including wage increases, promotions, and disciplinary actions in compliance with company policies
- Oversee the orientation/onboarding of new hires and the training of all employees
- Participate in site and workplace inspections
- Provide leadership and coaching to managers and employees on key workplace matters such as performance management, difficult conversations, employee relations, and employee development
- Manage all occupational health and safety policies, procedures and training
- Manage benefits administration including Group benefits, HOOPP, Vacation
- Coordinate allocation of employer paid parking & facility access and employee ID card allocation
- Maintain confidential files including employee files, training records, complaints and investigations, and benefits files
- Deliver all work related to Joint Health and Safety of the organization
- Manage all HR related contracts and relationships
- Perform regular privacy and HR related audits
Executive Associate to Senior Management (30%):
- Manage calendar (scheduling meetings, booking rooms and making travel arrangements),
- Create of meeting packages,
- Prepare documents/draft responses with appropriate attachments for distribution
- Attend meetings to take notes on agreed upon action items and perform subsequent follow ups
- Collect, tabulate and compile reports
- Develop and compose presentation material, documents, manuals and other materials, publications etc.
- Plan special events (e.g. retreats, in-services, training and orientation sessions)
- Identify and resolve difficult and escalated issues and complaints
- Receive and respond to inquiries from internal/external officials, executive, other physicians or government agencies
- Maintain various corporate accounts such as LinkedIn, vistaprint, indeed, amazon, medical mart etc.
- Maintain inventory of corporate assets such as laptops, computers, medical equipment etc.
- Prepare communications materials such newsletters, all staff announcements & external stakeholder communications
- Provide day to day supervisory support for staff reporting directly to the Executive Director
- Other duties and projects as assigned
Board Liaison (10%):
- Manages Board meetings, including preparing agendas and board meeting document packages, arranging meeting space, coordinating catering and technology;
- Perform other governance tasks as assigned
- Maintains up-to-date governance related materials
- Maintains discretion and confidentiality in relationships with all board members
Qualifications:
- University degree in Human Resources or CHRP certification or equivalent
- A combination of education and experience will be considered
- Working knowledge of the Employment Standards Act.
- 3-5 years of work experience in the area of Human Resource and Organizational Development
- Excellent MS Office skills (Outlook, Word, Excel and Power point, Visio) with particular expertise in calendar management
- Joint Health and Safety Certification an asset
- Must have a valid driver’s license and access to a car
- Excellent written and oral communication skills

- General office policies and procedures including, but not limited to, financial policies, Freedom of Information and Privacy, human resources and expense claims systems
